1. What information do we collect?
Personal information you disclose to us
We collect personal information that you voluntarily provide to us when you register on the Services, express an interest in obtaining information about us or our products and Services, when you participate in activities on the Services, or otherwise when you contact us.
Personal Information Provided by You. The personal information that we collect depends on the context of your interactions with us and the Services, the choices you make, and the products and features you use. The personal information we collect may include the following:
- names
- phone numbers
- email addresses
- passwords
- your chosen school/track and avatar
- answers you write or record during AI Interview Coach practice sessions
Sensitive Information. We do not process sensitive information.
Payment Data. We never collect or store your card number, mobile money PIN, or wallet credentials. How a purchase is handled depends on where you make it:
- In the mobile app. Premium is sold as an in-app purchase through Apple's App Store or Google Play. Apple or Google process the payment and we never see your payment details — we receive only a purchase receipt that we validate to unlock your account.
- On our website. Payment is handled on a hosted checkout page operated by BitPay (Bit Byte Solutions GH). We receive only a transaction reference and the transaction status. See BitPay for their privacy practices.
Social Login Data. We offer the option to register and sign in using your Google or Apple account. If you choose to sign in this way, we receive your name, email address, and the provider's account identifier — nothing else. We do not request or receive your contacts, friends list, posts, or photos.
- Mobile Device Data. We automatically collect device information (such as your mobile device ID, model, and manufacturer), operating system, version information and system configuration information, device and application identification numbers, browser type and version, hardware model Internet service provider and/or mobile carrier, and Internet Protocol (IP) address (or proxy server). If you are using our application(s), we may also collect information about the phone network associated with your mobile device, your mobile device's operating system or platform, the type of mobile device you use, your mobile device's unique device ID, and information about the features of our application(s) you accessed.

All personal information that you provide to us must be true, complete, and accurate, and you must notify us of any changes to such personal information.
Information automatically collected
We automatically collect certain information when you visit, use, or navigate the Services. - Interview practice content. The answers you type during AI Interview Coach sessions, and — if you choose to answer by voice — the audio recording of that answer. Audio is sent straight to our transcription provider and is never written to our servers' storage; we keep only the resulting text transcript, attached to your session so you can review it later.
- Account details. user name, email address, phone number, school/track selection, and chosen avatar.
- Quiz and progress data. the questions you attempt, your answers and scores, streaks, XP, and daily quest progress, used to power your dashboard and the leaderboard.
- Purchase records. the fact that you bought Premium, the store or gateway transaction reference, and its status. See Payment Data above.
Information collected from other sources
We do not purchase personal information about you from data brokers, public databases, joint marketing partners, or affiliate programs, and we do not build profiles about you from outside sources for advertising purposes.
The only information we receive from a third party is what Google or Apple pass to us when you choose to sign in with those accounts: your name, email address, and that provider's account identifier. Their own use of your information is governed by their privacy notices, not this one.
2. How do we process your information?
We process your personal information for a variety of reasons, depending on how you interact with our Services, including:
- To facilitate account creation and authentication and otherwise manage user accounts. We may process your information so you can create and log in to your account, as well as keep your account in working order.
- To deliver and facilitate delivery of services to the user. We may process your information to provide you with the requested service.
- To respond to user inquiries/offer support to users. We may process your information to respond to your inquiries and solve any potential issues you might have with the requested service.

We may process your information when we believe it is necessary to identify usage trends, determine the effectiveness of our promotional campaigns, and to evaluate and improve our Services, products, marketing, and your experience.

- To comply with our legal obligations. We may process your information to comply with our legal obligations, respond to legal requests, and exercise, establish, or defend our legal rights.
3. When and with whom do we share your personal information?
We do not sell your personal information, and we do not share it with advertising networks or data brokers. We share it only with the service providers listed below, only for the purpose shown, and only to the extent needed to run the feature you are using.
| Who | What we send them | Why | Your control |
|---|---|---|---|
| Anthropic (AI — United States) | The text of your interview practice answers and the questions you were asked. Not your name, email address, or phone number. | To score your answers, write your feedback report, and build your practice plan. | Explicit in-app permission required first. Withdrawable at any time. |
| Groq (speech-to-text — United States) | The audio recording of a spoken interview answer, if you choose to answer by voice. Not your name, email address, or phone number. | To convert your recording into text so it can be reviewed and scored. | Explicit in-app permission required first. Withdrawable at any time. Typing instead of recording avoids this entirely. |
| Apple and Google | Purchase receipts, and — if you use social sign-in — the identity token you authorised. | To validate Premium purchases and to sign you in. | Optional; you can register with an email address instead. |
| BitPay (Bit Byte Solutions GH — payments) | A transaction reference. Card and mobile money details are entered on their page, not ours. | To take payment for Premium bought on our website. | Only applies if you buy on the website rather than in the app. |
| Moolre (SMS) | Your phone number and the one-time code. | To send the SMS that verifies your phone number. | Used only at sign-up and when you request a new code. |
| Hosting and infrastructure (Render, Supabase, Firebase Cloud Messaging) | Data stored or processed on our behalf, and your push token if you enable notifications. | To host the app's database and servers and to deliver notifications. | Push notifications can be turned off in your device settings. |
Equal protection. Every third party listed above is bound by contract to provide the same or equal protection of your personal information as is stated in this Privacy Notice and as required by the Apple App Store Review Guidelines. Each acts as our processor: they may use your information only to perform the service we have asked them to perform, and not for their own purposes. In particular, neither Anthropic nor Groq is permitted to use your interview answers or recordings to train or fine-tune their AI models, and neither retains that content after your request has been served.
We may also share your personal information in these situations:
- Business Transfers. We may share or transfer your information in connection with, or during negotiations of, any merger, sale of company assets, financing, or acquisition of all or a portion of our business to another company.
- Legal obligations. Where we are required to do so by law, or to establish, exercise, or defend legal claims.
4. Do we use cookies and other tracking technologies?
We may use cookies and similar tracking technologies (like web beacons and pixels) to gather information when you interact with our Services. Some online tracking technologies help us maintain the security of our Services and your account, prevent crashes, fix bugs, save your preferences, and assist with basic site functions.
We do not run advertising on our Services, and we do not permit advertising networks or third-party advertising trackers to operate on them. The mobile app does not use cookies. On our website, cookies are limited to what is needed to keep you signed in and to remember your preferences.
Most web browsers accept cookies by default. You can set your browser to remove or reject them, though some parts of the website may then stop working.
5. Do we offer artificial intelligence-based products?
Yes. One feature of PrepAid uses artificial intelligence: the AI Interview Coach. No other part of the app sends your information to an AI service. Your quizzes, scores, progress statistics, streaks, and leaderboard position are all calculated on our own servers and are never sent to an AI provider.
Which AI providers we use, and exactly what we send them
We do not run our own AI models. The AI Interview Coach is powered by two third-party providers ('AI Service Providers'), both located in the United States:
- Anthropic, PBC — we send the text of the answers you give during a practice session, together with the interview questions you were asked. Anthropic's model scores each answer, writes your feedback report, and generates your 7-day practice plan. See Anthropic's privacy policy.
- Groq, Inc. — only if you choose to answer a question by voice, we send the audio recording of that answer so it can be transcribed into text. If you type your answers instead, no audio is ever recorded or sent. See Groq's privacy policy.
What we never send. We do not send your name, email address, phone number, password, school, avatar, payment information, device identifiers, or your quiz history to either provider. Neither provider is given an account identifier that would let them link a practice answer back to you.
What happens to the audio. A voice recording is streamed directly from your device through our server to the transcription provider and is never saved to our storage. We keep only the text transcript, attached to your practice session so that you can read it back later. Deleting your account deletes those transcripts.
We ask your permission first
We will not send anything to an AI Service Provider until you have given explicit permission inside the app. The first time you open the AI Interview Coach, the app shows you a screen that names both providers, describes exactly what will be sent, and asks you to agree. Until you agree, the feature stays locked and no data leaves our servers.
Agreeing is entirely your choice. If you decline, every other part of PrepAid — quizzes, study packs, progress tracking, the leaderboard — continues to work normally. Purchasing Premium does not grant this permission on your behalf, and we will still ask you separately.
Withdrawing permission. You can withdraw it at any time in the app under Profile → Settings → AI Interview Coach permission. From the moment you withdraw, we stop sending anything further to the AI Service Providers and the feature locks again. Withdrawing does not delete practice sessions you have already completed — you can delete those individually, or delete your account to remove them all.
How your data is protected at the AI providers
Both providers act as our processors under contract. They may use what we send only to return the result we asked for, and not for their own purposes. Specifically:
- Neither provider may use your answers or recordings to train or fine-tune their AI models.
- Neither provider retains your answers or recordings after the request has been served, other than short-lived operational logs kept to detect abuse and diagnose faults.
- Both are contractually required to provide the same or equal protection of your personal information as is described in this Privacy Notice.
A note on accuracy. The AI Interview Coach produces practice feedback, not an assessment of your ability and not a prediction of any real admissions outcome. AI-generated feedback can be wrong or incomplete. It is a study aid, and no admissions decision is made by us or by any AI provider on the basis of it.
6. How do we handle your social logins?
Our Services let you register and sign in using a Google or Apple account. These are the only two providers we support. Where you choose to do this, we receive your name, your email address, and that provider's account identifier — and nothing else. We do not request or receive your contacts, friends list, photos, posts, or any other content from those accounts, and we do not post anything to them on your behalf.
If you sign in with Apple and choose to hide your email address, we receive only Apple's private relay address and can never see your real one.
We use what we receive only for the purposes described in this Privacy Notice. We do not control, and are not responsible for, other uses of your personal information by Google or Apple. We recommend you review their privacy notices to understand how they collect, use, and share your personal information. You can register with an email address and password instead, and never use social sign-in at all.
7. How long do we keep your information?
As a general rule we keep your personal information only for as long as you have an account with us. In more detail:
| What | How long we keep it |
|---|---|
| Account details (name, email, phone, school, avatar) | Until you delete your account. |
| Quiz attempts, scores, XP, streaks, leaderboard position | Until you delete your account. |
| Interview practice answers, transcripts, reports, and practice plans | Until you delete the session or your account. |
| Voice recordings | Never stored. Streamed for transcription and discarded immediately. |
| One-time verification codes (SMS/email) | Minutes — they expire shortly after being issued. |
| Purchase and transaction records | Up to 6 years after the transaction, because tax and accounting law requires it. These are kept even if you delete your account, and are reduced to the transaction reference and amount. |
| Server and security logs | Up to 90 days. |
| Encrypted backups | Up to 30 days, after which deleted data disappears from backups too. |
When we no longer have a legitimate business need to process your personal information, we delete or anonymise it. Where immediate deletion is not possible — for example because the data sits in an encrypted backup — we isolate it from any further processing until deletion is possible.
8. Do we collect information from minors?
PrepAid is rated 16+ on the App Store and is not directed to children under 16. We do not knowingly collect, solicit data from, or market to anyone under 16 years of age, and we never sell personal information about anyone.
By using the Services you represent that you are at least 16. If you are under 18, you must have permission from a parent or guardian to use the Services, and they must agree to this Privacy Notice on your behalf. Where the law of your country sets a higher minimum age for consenting to the processing of your personal information, that higher age applies instead.
If we learn that we have collected personal information from someone under 16 without the required consent, we will deactivate the account and take reasonable measures to promptly delete that data from our records. If you believe we may hold data about a child under 16, please contact us at contact@prepaidgh.com and we will remove it.
9. What are your privacy rights?
Depending on where you live, you may have the right to access the personal information we hold about you, to correct it, to delete it, to object to or restrict how we process it, and to receive a copy of it in a portable format. You also have the right to complain to your local data protection authority.
Withdrawing your consent: Where we rely on your consent to process your personal information, you can withdraw it at any time:
- AI Interview Coach. In the app, go to Profile → Settings → AI Interview Coach permission and switch it off. We stop sending anything to the AI Service Providers immediately.
- Push notifications. Turn them off in your device settings, or in Profile → Settings → Notifications.
- Anything else. Email us at contact@prepaidgh.com.
Withdrawing consent does not affect the lawfulness of processing carried out before you withdrew it, and it does not affect processing we carry out on other legal grounds.
Account Information
You can review and update your name, email address, phone number, school/track, and avatar at any time in the app under Profile → Edit profile.
You can delete your account and its data yourself, from inside the app, under Profile → Settings → Delete account. No email to us is required. Deletion removes your account, quiz history, progress and XP, leaderboard entry, and all interview sessions, transcripts, and reports. We may retain a limited record of purchases where tax or accounting law requires it, and anonymised data that can no longer be linked to you — see How long do we keep your information? above.
If you would prefer us to do it for you, or you can no longer sign in, email contact@prepaidgh.com from the address on your account and we will action it.
Cookies and similar technologies: Most Web browsers are set to accept cookies by default. If you prefer, you can usually choose to set your browser to remove cookies and to reject cookies. If you choose to remove cookies or reject cookies, this could affect certain features or services of our Services.
If you have questions or comments about your privacy rights, you may email us at contact@prepaidgh.com.
10. Controls for do-not-track features
Most web browsers and some mobile operating systems include a Do-Not-Track ('DNT') setting you can activate to signal that you do not want your online browsing activity monitored. No uniform technology standard for recognising and implementing DNT signals has been finalised, so we do not currently respond to them.
In practice this makes little difference here: we do not track you across other companies' apps or websites, we do not run advertising, and we do not use the App Tracking Transparency framework, because there is no cross-app tracking for it to authorise. If that ever changes we will update this notice and ask your permission first.
11. Do we make updates to this notice?
We may update this Privacy Notice from time to time. The updated version will be indicated by an updated 'Revised' date at the top of this Privacy Notice. If we make material changes to this Privacy Notice, we may notify you either by prominently posting a notice of such changes or by directly sending you a notification. We encourage you to review this Privacy Notice frequently to be informed of how we are protecting your information.
