1. Introduction
PrepAid ("we", "us", "our") provides a mobile learning platform for entrance exam and interview preparation. This policy explains what personal data we collect when you use the PrepAid app and website, why we collect it, and the choices you have. By creating an account or using our services, you agree to the practices described here.
2. Data we collect
Information you give us
- Account details: your name, email address, phone number, school/track selection, and chosen avatar.
- Interview practice content: answers you type or record during AI interview coaching sessions, including audio you choose to submit for transcription.
- Feedback and support messages you send us.
Information collected automatically
- Usage data: quiz sessions, scores, streaks, XP, study time, and feature usage — used to power your progress dashboard and leaderboards.
- Device data: device identifiers, operating system, and app version — used for free-trial limits, security, and troubleshooting.
- Push notification tokens if you enable notifications.
Payment information
Premium subscriptions are paid via mobile money processed by Moolre. We receive your mobile money number, transaction status, and a transaction reference. We do not store mobile money PINs or wallet credentials.
3. How we use your data
- To create and secure your account, including phone verification via SMS one-time codes.
- To deliver core features: quizzes, progress analytics, rankings, offline downloads, and the AI interview coach.
- To process subscription payments and confirm transactions.
- To send service messages (OTPs, payment confirmations) and — only if you opt in — study reminders and announcements.
- To understand aggregate usage so we can improve content and features.
- To detect abuse, enforce our Terms & Conditions, and comply with legal obligations.
We do not sell your personal data to anyone.
4. Cookies & tracking
Our website uses only essential cookies needed for basic functionality (such as keeping admins signed in). We do not run third-party advertising trackers. The mobile app uses secure tokens to keep you signed in.
5. Third-party services
We share the minimum data necessary with providers who help us run PrepAid:
- Moolre — mobile money payment processing and transactional SMS delivery (OTP codes). Sees your phone number and payment details needed to complete a transaction.
- Anthropic (Claude) — powers the AI Interview Coach. Your interview responses are sent to Anthropic's API to generate coaching feedback. They are not used to train models per Anthropic's commercial API terms.
- Speech-to-text processing — audio answers you record in interview practice are transcribed so the coach can respond.
- Push notification delivery (e.g. Firebase Cloud Messaging) if you enable notifications.
- Hosting and infrastructure providers that store our databases and backups.
Each provider is bound by its own privacy commitments and processes data only to provide its service to us.
6. Your rights
You are in control of your data. At any time you can:
- Access & update your profile information from the app's Account Settings.
- Delete your account from within the app or by contacting us — this removes your personal data from active systems.
- Export a copy of your data by emailing us.
- Opt out of non-essential notifications from the app's notification preferences.
Residents of Ghana have rights under the Data Protection Act, 2012 (Act 843), including the right to complain to the Data Protection Commission.
7. Security
We protect your data with encryption in transit (HTTPS/TLS), hashed passwords, token-based API authentication, role-restricted admin access, and payment verification performed server-side rather than trusting the device. No system is 100% secure, but we work to keep your information safe and will notify affected users of any material breach as required by law.
8. Data retention
We keep your data while your account is active. If you delete your account, personal data is removed from active systems within 30 days; transaction records may be retained longer where required by financial regulations. Anonymized, aggregated statistics (e.g. overall pass rates) may be kept indefinitely.
9. Children's privacy
PrepAid is intended for students preparing for tertiary-level admission and is not directed at children under 13. If we learn we have collected personal data from a child under 13 without parental consent, we will delete it.
10. Changes to this policy
We may update this policy as PrepAid evolves. We will post the new version here, update the "Last updated" date, and notify you in the app of material changes. Continued use after changes take effect means you accept the updated policy.
